Explanation

  • The statement Photo restoration. and Efficient filing. states the advantages of scanner.

  • Scanners can be used to convert images or text on paper into a digital format that can be used by the computer.

  • A scanner works by shining a beam of light onto the surface of the object that you are scanning. This light is then reflected back onto a sensor that detects the color of the light. This is then used to build up the digital image.

  • There are three types of scanner:

    • Flatbed scanners

    • Handheld scanners

    • Specialist scanners

Advantages:

  • Photo Restoration: Scanners have become an important tool for photo restorers. The scanning process is gentle on the photograph, which may be in a much deteriorated state even in fragments. Once scanned into digital form, a graphics technician can fix tears, creases and other damage to vintage photographs using Photoshop and other image-manipulation programs. After repairing the image, can reprint it on new photo-quality paper.

  • Any image which is digitized by the scanner can then be included on electronic documents and Images once digitized can be enhanced with a graphics application.

  • Rapid Communication: Can more quickly send a scanned document by email than a paper copy by traditional mail or fax. The convenience of emailing electronic documents facilitates more timely communication, and with the advent of smartphones and tablets, those on the receiving end don’t need a computer to view these attachments. In business, sending order forms and contracts by email reduces time needed to make deals; other professions also benefit from faster communication, such as physicians reviewing medical charts and images. Sending a document to a group is especially efficient as the same message can have many recipients.

  • Text Capture, Edit and Search: Usually a scanner is used to turn a paper document to a graphic image or PDF (which stands for portable document format) file, however, a software process called Optical Character Recognition goes a step further, turning a scanned document into text. OCR converts the shapes of letters and numbers from a graphic file into the text they represent

  • Business Data Capture: Specialized scanners automatically load data from business cards and other forms into computer’s contact list, saving the manual labor of typing. Many of these scanners come in a compact, portable format so can take it along to meetings. The software has OCR capabilities able to recognize common print styles and convert them to text.

  • Efficient Filing: Organizations that deal with large quantities of paperwork have traditionally had to set aside warehouses full of filing cabinets in which to keep old records. Scanners streamline the process by significantly reducing the space required to store information.
